2- Custom Booth by Your Own Decorator

Please carefully read the section on the architectural guidelines below.

Rigid partition walls and flooring are mandatory.

To maintain the aesthetics of the show, exhibitors without rigid partition walls or who use a portable pop-up or half-moon booth style that does not completely cover the back and sides of the booth must rent the masking package with GES or find another satisfactory solution.

The current “Architectural Guidelines” must be sent to your decorator. It lists the presentation and layout standards for booths to ensure the proper conduct of the show and optimal visitor comfort.

The custom booth design by your decorator must be submitted for approval no later than April 4, 2025 to the Logistics Operations Service, to Camille Desmarais: camille@planesolutions.ca

Note: Hiring an Exhibitor Appointed Contractor (EAC) is not mandatory. However, if you choose to hire one to build or dismantle your booth, you must submit a Notice of Intent to Hire an EAC form and a Certificate of Insurance to GES.

The Enercare Centre operates under agreements with six distinct union locals. These agreements affect how work must be performed on-site and require the hiring of union labor when work involves these trades on your space. The Enercare Centre requires the show’s management and its exhibitors to adhere to all collective agreements in place between the Enercare Centre, Exhibition Place, and the 6 unions. ② LOGISTICS AND SERVICES

➔ DECORATION, HANDLING, STORAGE, FORKLIFTS (GES ORDERING PLATFORM)

• Decoration:

Customize your booth (graphics, showcases, etc.) and order additional furniture and shelves via the GES Ordering Platform by clicking here

• Handling:

This service is exclusive to GES Canada, the official decorator of SIAL Canada shows.

• Complimentary carts will be available for handling small volumes (less than 200lbs).
• The use of YOUR pallet jack by YOUR staff is only allowed for a maximum duration of 20 minutes and limited to 2 pallets.

ALL LARGE VOLUME HANDLING REQUIRING MOTORIZED LIFTING EQUIPMENT MUST BE CARRIED OUT BY GES CANADA.

For equipment manufacturers and other heavy non-exhibit items, please contact our customer service at torontoexhibitorservices@ges.com. We have established a preferred rate schedule with SIAL Show Management to help reduce the cost of Material Handling.

• Storage:

The storage of empty crates is mandatory. GES will provide tags to be placed on your boxes when they are ready for storage. Any storage request must be booked in advance: click here

Note that storage is included for all exhibitors who have booked a handling service. No valuable items should be left in the stored crates. Neither SIAL Canada nor GES can be held responsible in case of theft.

Reminder: The City Fire Department strictly prohibits the storage of boxes or empty crates inside or behind the booth.

Important: Some services ordered from Showtech require precise positioning within the booth. The plan must be uploaded online on the ordering platform. If the exhibitor does not provide the plan, they will not be able to complete their order.


➔ FREIGHT TRANSPORTATION AND CUSTOMS

The import of food and other products into Canada must comply with the import requirements of various government agencies. To facilitate this process, SIAL Canada strongly recommends its exhibitors to use their official customs broker and carrier: North American Logistics Services Inc. It is essential to contact NALSI as early as possible to know the deadlines.

• Shipped goods must bear the following information: SIAL Canada 2025 / Shipper’s name / Exhibitor’s name / Booth number / Contact name and details / Refrigerated or not / Customs clearance or not
• On-site goods reception starts from Saturday, April 26, 2025.
• Perishable food products must be delivered only on Monday, April 28 from 7:00 AM to 6:00 PM.

③ FOOD SAFETY AND SAMPLING

➔ HYGIENE AND SANITATION RULES TO FOLLOW

• Hygiene and Sanitation Rules

• MANDATORY:

All exhibitors must complete the Toronto Public Health form by clicking here before April 23, 2025. Please complete this form carefully and provide as much detail as possible about the food products you will be preparing or distributing at SIAL Canada.

Each exhibitor is responsible for respecting and applying the Hygiene and Sanitation Rules in temporary food

Note, despite the presence of cleaning areas, exhibitors who need to prepare, cut, assemble, or cook food must have at least a water tank with a dispenser, a container to collect water, and soap to wash hands and utensils at their booth. Click here for more information

• Communal Cleaning Areas:

Cleaning areas will be available for washing your dishes with hot and cold water service, soap, and paper towels. Containers for collecting used oils are also provided. It is strictly forbidden to use the toilets for cleaning your equipment. These stations are located in the 4 corners of the exhibition hall.

➔ DISTRIBUTION OF FOOD AND ALCOHOL SAMPLES

• Distribution of Food and Non-Alcoholic Beverages Samples

All exhibitors are allowed to freely sample their products and non-alcoholic drinks at their booth. This is a great opportunity to introduce your products to the show’s visitors.

Distribution of Alcohol Products

Depending on whether your products are sold through the Liquor Control Board of Ontario (LCBO) or not, two different procedures apply. Please click here and select the option that corresponds to your situation to ensure compliance with the appropriate regulations.



➔ BOOTH ANIMATION


Demonstrations and events must not in any way interfere with neighbouring Exhibitors, the flow of circulation or, in general, the orderly operation of SIAL Canada, failing chich the authorization granted may be revoked without further notice.


➔ SOSIAL PROGRAM – FOOD BANK

SoSIAL is a program dedicated to fighting food waste and helping those in need. Thanks to this organization, all food products are collected and stored at the end of the show to be distributed locally through the Daily Bread Food Bank.

For each visitor registration, SIAL Canada will donate $5 to the Daily Bread Food Bank to combat food waste. Make a Donation ❤

We encourage all our Canadian exhibitors to leave products for the Daily Bread Food Bank at the end of the show. A “Daily Bread Food Bank” label will be distributed to you: it should be placed next to the products you wish to donate. We thank you very much!

Note that international products cannot be accepted for food safety reasons.


④ EXHIBITOR REGISTRATION

➔ EXHIBITOR BADGE REGISTRATION

Exhibitor badges will be issued at the Exhibitor Welcome Desk in the Enercare lobby. These badges are non-transferable and non-exchangeable. Badges are only issued if full payment for the booth has been settled. Click here to register your badges. Please note that the booth manager’s email address and your customer number (COM-XXXX) will be required for authentication.

Quantities:
– Regular Exhibitors: 2 badges per 100 sq. ft.
– Privilege Exhibitors: 5 badges per 100 sq. ft.

– Additional Badge: $50 + tax per badge.

SIAL INNOVATION CONTEST
SIAL Innovation is reserved for exhibitors of SIAL Canada 2025. Your participation offers maximum visibility in front of all show visitors and media.

Participation Criteria:
• Must provide edible or non-edible food industry products that were created or launched on the market after April 2024, in their country of origin or in any other country
• Participants guarantee that their products comply with the legislation of the country of origin or the country in which they are located.

Participation Criteria:
• Exhibit at SIAL Canada 2025 in the Start-Up Village
• Offer a food product or beverage OR a new technology or service related to the food industry
• Be in business for less than 6 years
Food industries: from $50,000 to $1,000,000 CAD in revenue
Technology and services companies: no revenue criteria required

INTERNATIONAL CHEESE COMPETITION
This biennial competition highlights the best in the industry. In 2023, during SIAL Toronto, 231 cheeses from 8 countries competed in 25 categories, showcasing the diversity and creativity of the global cheese sector.

Qualification Criteria:

  • May be a product already available in the retail or food service sector or new to the market.
  • Must be made with milk, without the addition of modified dairy ingredients: cow, goat, sheep, buffalo, or a mix.
  • Must be labeled as cheese and not as a processed cheese food product.
  • Cheese to be submitted for judging (minimum of 5 lbs):
    • wheel or
    • block of 5 lbs or more
    • small format cheese: 1 carton/box
  • No core samples/”plugs” to be taken from submitted cheese.
  • No alterations allowed.

Setup and dismantling

⑥ SETUP➔ EXHIBITOR RECEPTION

The SIAL Canada team will be happy to welcome you at the Exhibitor Welcome Desk (“Show Office”) in Salon 103:

– Sunday, April 27 from 8:00 AM to 6:00 PM
– Monday, April 28 from 8:00 AM to 6:00 PM
– Tuesday, April 29 from 8:30 AM to 6:00 PM
– Wednesday, April 30 from 8:30 AM to 6:00 PM
– Thursday, May 1 from 8:30 AM to 4:00 PM

You will also find the offices of SHOWTECH, NALSI, TMI, GES, LOWE, and Enercare Centre there.


➔ SETUP SCHEDULE

This is a framework schedule. A precise setup schedule will be sent to you by email 3 weeks before the show.

Please note that it is possible to remain for setup until 10:00 PM on Sunday, April 27, and until 10:00 PM on Monday, April 28, but no temporary exit will be allowed after 6:00 PM (any exit is final).

No rolling equipment (cart or dolly) will be allowed once the carpets are installed.

➔ GOODS RECEPTION DURING THE SHOW

During the exhibition, exhibitors can have boxes, crates, or packages delivered daily from 7:00 AM to 6:00 PM. All shipments must be delivered, freight prepaid, to the unloading docks.

➔ END OF SETUP

Carpet Installation

The carpet installation in the aisles will take place starting at 5:00 PM on Monday, April 28, 2025. No movement of rolling equipment will be allowed after this installation. Final setup operations, including booth cleaning, must be completed by April 28 before 5:00 PM.

Booth Cleaning

You are allowed to place your waste in the aisles on Monday, April 28, the day before the opening. This waste will be collected by our services. You can book a cleaning service for your booth during the event via the Enercare Centre Ordering Platform by clicking here

Booth Inspection

Booth inspection will take place on Monday, April 28, throughout the day. A notice will be left on your booth if your setup contains any elements not compliant with the show regulations. An email notice will be sent to you if you are no longer on-site.



⑦ DISMANTLING

➔ DISMANTLING PROCEDURE

Dismantling is not allowed before Thursday, May 1, at 4:00 PM. Click here to review the early tear-down policy
• The removal of hand-carried goods will begin as soon as the aisle carpets are removed (4:00 PM)
• Rolling carts and pallet jacks will be allowed to circulate once the aisle carpets are completely removed (around 5:00 PM)
• Hand carts will be available at the dock but will not be allowed in reception hallways and public areas
• Empty crates will be delivered to your booth by the handling service as soon as possible for exhibitors who have opted for the storage service

➔ DISMANTLING SCHEDULE

You will not receive a specific dismantling schedule.
The show closes to visitors at 4:00 PM on Thursday, May 1. From 4:00 PM, you can start dismantling inside your booth until 00:00, and on May 2nd from 7AM until 3PM.
Nothing can roll in the aisles until the carpets are removed. This operation takes approximately 1 hour.

From 4:00 PM to 6:00 PM, personal vehicles have priority access to the docks according to the following logic:
• From 4:00 PM to 5:00 PM, during the carpet removal, exhibitors with minimal equipment that can be carried by hand can leave.
• From 5:00 PM to 6:00 PM, exhibitors with minimal equipment that requires the use of a rolling cart can leave.

From 6:00 PM, the docks become accessible to trucks and exhibitors who require handling. All your equipment must be assembled at the docks and ready to be loaded for your vehicle to have access to an unloading dock, without exception.

A dismantling note will be left on your booth on Wednesday, April 30, in the evening to remind you of this procedure. All equipment and decorations must have left the exhibition hall by Friday, May 2, at 3:00 PM – please inform your suppliers.



WATER SHUTDOWN

Before removing your water-connected equipment, ensure that the Enercare Centre’s technical service has shut off the water supply. Any damage will be charged to the exhibitor.


BOOTH DISMANTLING

All equipment and decorations must have left the exhibition hall by Friday, May 2, at 3:00 PM – please inform your suppliers. Otherwise, GES will be obliged to dismantle and remove all decoration installations and structures. This operation will be billed to the exhibitor, and GES cannot be held responsible for any damages caused.

For exhibitors with a Turnkey Booth Package from SIAL or GES please ensure that all posters are removed from the walls and portable booth equipment is removed from the booth space by 10pm on Thursday, May 1st.

THEFT

Storage areas and furniture must be emptied of their contents as soon as the show closes. Doors can be opened without your knowledge, and you risk losing your materials. Keys must be left inside the furniture.


GOODS FROM ABROAD

Products admitted under temporary importation at the Enercare Centre cannot be sold to exhibitors or visitors, as they are under the temporary customs admission regime and have not paid Canadian customs duties and taxes. Inspectors from the Canadian Food Inspection Agency will be on-site to perform the necessary checks.


SITE RESTORATION

Exhibitors must leave the premises in their original condition. Damages observed during the setup or dismantling of the booths will be charged to the exhibitor, who is also responsible for all their contractors. Any materials left on-site will be at the exhibitor’s or their representative’s expense to retrieve. The exhibitor or their contractor is responsible for leaving the space clean, without any residual materials such as tape. The removal of glue will be billed to the exhibitor.

Exhibitors: Tuesday, April 29 and Wednesday, April 30 from 8:00 AM to 7:00 PM. Thursday, May 1 from 8:00 AM to 4:00 PM. A precise setup schedule will be sent to you a few weeks before the show.
• Visitors: Tuesday, April 29 and Wednesday, April 30 from 10:00 AM to 5:00 PM. Thursday, May 1 from 10:00 AM to 4:00 PM.

It is the responsibility of each exhibitor to comply with and apply the Hygiene and Sanitation Rules in temporary food booths:

➔ MANDATORY INSURANCE, HEALTH, SAFETY

Mandatory Insurance

Civil liability insurance coverage is mandatory. The safety of rented spaces (booths) is the exhibitor’s responsibility.
For Pavilions: the Pavilion organizer has the choice to insure all their co-exhibitors or allow them to obtain individual insurance.

SIAL Canada, the exhibition management, and its representatives cannot be held responsible for losses and/or damages to property caused by fire, water, accidents, theft, or other causes occurring during the stay in the building or its dependencies. Proof of insurance may be requested by the organizer. Please refer to the General Sales Conditions for more information.

• Safety Shoes

The Ministry of Labour has classified the Enercare Centre as an industrial site during the setup and dismantling of the exhibition. Therefore, all staff must wear safety shoes, in accordance with the Health and Safety Act. Please ensure that all employees and workers on site comply with this requirement.

• No Smoking Policy

The Enercare Centre is a non-smoking facility, in accordance with the City of Toronto’s statutes. Smoking is only permitted in designated areas outside the Enercare Centre, as allowed by law.
